FleetSetu onboarding timelines vary based on fleet size and operational complexity. For small to mid-sized fleets, initial setup and data migration can typically be completed within a few days. Larger fleets with complex workflows may require a few weeks for full onboarding, including configuration of your specific SOPs, vehicle and driver data migration, and team training. Our onboarding team works closely with your operations staff to ensure a smooth transition with minimal disruption to daily operations.

Question 4

How does FleetSetu prevent toll leakage and expense overcharging?

Accepted Answer

FleetSetu provides detailed visibility into trip-level expenses including toll charges, fuel costs, and other operational expenses. The platform helps you track expected versus actual expenses per trip, making it easier to identify anomalies such as overcharged tolls or unusual fuel consumption patterns. By maintaining a clear record of all expenses linked to specific trips and routes, your team can quickly spot discrepancies and take corrective action, reducing potential revenue leakage over time.

Question 5

Is our shipper contract and customer data secure?

Accepted Answer

FleetSetu takes data security seriously. The platform uses encrypted data transmission, secure authentication, and role-based access controls to protect your business data. Your shipper contracts, customer information, and operational data are stored securely and are only accessible to authorized users within your organization. We follow industry-standard security practices for data storage and access. For specific compliance requirements, please discuss your needs with our team.

Question 7

How does FleetSetu's multi-tenant SaaS architecture handle data segregation and scalability for growing logistics operators?

Accepted Answer

FleetSetu is built on a cloud-native, multi-tenant architecture designed to scale seamlessly from 5 trucks up to 5,000 trucks. The system ensures complete data isolation and segregation between different tenants. Even within a single tenant organization, the architecture supports branch-level access boundaries (such as Pune, Mumbai, or Delhi branches). This structure allows administrators to maintain central oversight while restricting users and branch heads to their designated locations, preventing unauthorized cross-branch data exposure.

Question 8

In what ways does the FleetSetu Customer Management module assist in managing billing compliance and credit risks?

Accepted Answer

The platform maps every customer relationship through a centralized master profile that stores GST details for compliance, multiple delivery addresses, and complete transaction histories. To mitigate financial risk, FleetSetu tracks credit limits and terms per customer, providing real-time "credit OK" validation during trip bookings. By integrating ledgers and outstanding balances directly into the workflow, the system flags overdue accounts, ensuring dispatch teams do not mistakenly allocate resources to clients who exceed their credit limits.

Question 9

What are the operational stages of a consignment within the FleetSetu Shipment Management module?

Accepted Answer

Consignments are tracked within FleetSetu through eight automatic lifecycle milestones: Booked, LR generated, Picked up, In Transit, Reached Hub, Out for Delivery, and Delivered. To avoid manual re-keying, data entered in the booking form automatically generates a GST-ready, auto-numbered Lorry Receipt (LR/Builty) in a single screen. This data is printed in A4 or thermal formats, and each milestone log is updated instantly, establishing an end-to-end audit trail.

Question 10

How does FleetSetu's tracking system keep customers updated without requiring portal logins?

Accepted Answer

When a shipment is created, FleetSetu's automation engine generates a unique, shortened Smart Tracking URL (e.g., fs.io/t/8x2k) linked to that consignment. This link is sent to the customer via automated SMS at key milestones, such as dispatch. Customers can click the link to view live location details and real-time ETA updates without having to log in. Additionally, the system features a tracking URL registry that monitors engagement metrics like opens and clicks.

Question 11

How does FleetSetu simplify E-Way Bill compliance for dispatch teams?

Accepted Answer

FleetSetu features a direct integration with the official GSTN network, allowing teams to generate, auto-extend, or cancel E-Way Bills in a single click directly from the system. This integration eliminates the need for separate portal logins, speeding up document preparation by ten times compared to manual entry. Additionally, the system supports bulk generation for high-volume operations like FMCG distribution, reducing penalty risks at check-posts due to expired bills.

Question 12

How does the FleetSetu platform ensure regulatory compliance for automated customer updates?

Accepted Answer

FleetSetu incorporates a DLT-compliant SMS notification system integrated with MSG91. The platform utilizes pre-approved, editable message templates to deliver automated alerts at critical shipment milestones, such as booking, transit, and delivery. Operational credits are managed via a prepaid SMS credit wallet that features low-credit notifications. Detailed audit logs are maintained for every SMS sent, ensuring full traceability and regulatory compliance for all customer communications.

Question 13

How does FleetSetu's Dispatch module help managers optimize fleet utilization and resource planning?

Accepted Answer

The FleetSetu dispatch console operates as an operational control tower, displaying real-time statistics on deployed vehicles, driver assignments, and pending loads. Managers can monitor overall fleet utilization percentages and identify idle vehicles or unassigned shipments in a single view. The platform enables one-tap trip assignment with automated roster and driver availability checks, replacing spreadsheet-based scheduling with real-time operational controls.

Question 14

How does digitizing Proof of Delivery (POD) with FleetSetu accelerate the billing and collection cycle?

Accepted Answer

With FleetSetu, drivers can upload digital Proof of Delivery (POD) documents directly from the field, which then enter an operations verification and approval workflow. Once a POD is verified, it automatically attaches to the invoice in the searchable document repository. This triggers automated invoice generation upon delivery, enabling businesses to start billing immediately. By eliminating delayed paperwork and lost documents, companies can recover outstanding balances up to 30% faster.

Question 15

How does FleetSetu's accounting module identify operational leaks and track profitability?

Accepted Answer

The FleetSetu platform records operational expenses—including diesel slips, advances, tyre replacements, and maintenance costs—directly at the source. This data is aggregated to provide real-time profit and loss (P&L) statements with margin visibility by branch and individual truck. By tracking variable running costs against YTD revenues, founders and branch heads can pinpoint financial leaks, eliminate unrecorded expenditures, and monitor long-term profitability trajectories.

Question 16

What departments are supported by FleetSetu's Role-Based Access Control, and how are permissions structured?

Accepted Answer

FleetSetu implements department-based, configurable roles such as Admin, Dispatcher, Accountant, Branch Head, and Auditor (Read-Only). Permissions are granularly structured per module and action. For instance, Accountants possess full permissions for billing and reports but no access to dispatch, while Dispatchers have full access to shipments and dispatch but no access to billing. This ensures security governance by restricting user activities to their specific operational duties.

Question 17

What is the technical mechanism behind FleetSetu's automation engine?

Accepted Answer

FleetSetu uses an event-driven automation engine where status transitions automatically trigger subsequent workflows, such as sending SMS notifications, updating tracking links, or generating invoices. To guarantee reliable execution, these processes are managed through a queue-based system. This queue-based architecture ensures ordered, retry-safe, and unattended execution of multi-step operations around the clock, eliminating manual follow-ups.

Question 18

How does FleetSetu protect sensitive business operations and audit logs from unauthorized changes?

Accepted Answer

FleetSetu maintains enterprise-grade security by encrypting data both in transit and at rest across the cloud platform. The system enforces Role-Based Access Control (RBAC) at every operational layer and tracks user activities via detailed audit logs. Every create, edit, or delete action is recorded with attribution, providing full visibility and a reliable audit trail for compliance. Additionally, the platform is hosted on a hardened infrastructure with continuous monitoring and automated backups to ensure reliable recovery points.

Question 19

What features are planned for the upcoming phases of FleetSetu's product roadmap?
