What Is a Trip Sheet and Why Does It Matter?

A Trip Sheet — also called a driver trip card, fuel balance voucher, or trip expense sheet — is the running account of everything that happened on a single journey: the route driven, fuel filled, tolls paid, advances given to the driver, halting or loading charges, and the final balance owed either to the driver or back to the company. It's the document that turns a truck's movement into numbers your accounts team can actually reconcile.

Most transport businesses still settle this on a torn notebook page or a WhatsApp message from the driver, which makes it nearly impossible to catch a missing fuel slip or a double-counted advance until weeks later. FleetSetu's Trip Sheet Generator gives every trip a structured format — route, expenses, and driver balance in one place — so settlements are accurate and disputes are rare.

Before You Hit Generate — Read This

A Trip Sheet is where money disputes with drivers actually get resolved — or start. Here's what experienced fleet owners and dispatchers double-check every single time, before and after closing a trip sheet. Tap any tip to see a real example.

1Before You Create the Trip Sheet

Record the Opening Advance Before the Truck Leaves

Note exactly how much cash or advance was handed to the driver before departure, with date and mode of payment.

+

Real example: A Rajkot transporter gave a driver ₹15,000 in cash for a Mumbai trip but didn't note it anywhere until the driver returned — when the driver claimed he'd received only ₹12,000, there was no record to settle the dispute either way.

Log Fuel Fill-Ups With Odometer Readings, Not Just Amounts

Note the km reading alongside every fuel entry — it's the only way to catch mileage that doesn't add up.

+

Real example: A fleet owner noticed a driver's fuel spend jump 20% on the same route with no odometer readings recorded — without the km trail, there was no way to prove whether it was traffic, a detour, or something else.

Separate Toll, Loading, and Halting Charges Into Their Own Lines

Don't lump every expense into one "other charges" line — split them so you can actually spot patterns.

+

Real example: A trip sheet with a single ₹3,200 "misc" entry told a Nagpur operator nothing; once tolls, loading labour, and halting charges were split into separate lines, he realized halting charges alone were eating 40% of his margin on certain routes.

Confirm the Route and Distance Before You Start Filling It In

Lock in the planned route and distance up front — it's your baseline for fuel efficiency and freight calculation.

+

Real example: Without a recorded planned route, a driver who took a longer detour around a closed highway had no way to justify the extra fuel and toll cost when the trip sheet was reviewed.

Keep Helper and Cleaner Payments on the Sheet, Not Off the Books

If a helper or cleaner travels with the vehicle, their payment belongs on the trip sheet too.

+

Real example: A transporter who paid helpers in cash outside the trip sheet couldn't account for nearly ₹8,000 a month in unrecorded labour costs when he finally sat down to calculate real per-trip profitability.

2After You Create the Trip Sheet

Settle the Balance With the Driver the Same Day

Close out advances against actual expenses as soon as the truck returns, while receipts are still fresh.

+

Real example: Waiting a week to settle a trip balance meant a Kolkata transporter's driver couldn't remember which toll receipt belonged to which leg of a two-city trip, and two receipts went unclaimed.

Attach the Actual Fuel and Toll Receipts to the Sheet

Staple or scan the physical receipts against the trip sheet entries, not just the numbers.

+

Real example: A trip sheet showing ₹4,500 in fuel expenses with no receipts attached is the first thing an internal audit flags — keeping receipts pinned to the sheet turns a "trust me" into proof.

Compare Fuel Efficiency Against the Vehicle's Usual Average

Check km-per-litre against past trips on the same route to catch fuel pilferage or a maintenance issue early.

+

Real example: A steady 2-3 km/l drop on the same route, month after month, is often the earliest warning sign of fuel theft or a fuel injector problem — but only if someone's actually comparing trip sheets side by side.

File the Sheet Against the Vehicle and Driver, Not Just the Date

Tag every trip sheet to both the vehicle number and driver name so patterns are searchable later.

+

Real example: When one particular driver's trips started running consistently over budget, it only became obvious because the fleet owner could filter trip sheets by driver name across three months.

Use the Closed Trip Sheet to Update Your Freight Costing

Feed the real fuel, toll, and halting numbers back into how you quote freight for that route next time.

+

Real example: A route that looked profitable on paper turned out to run at a loss once actual toll and halting charges from closed trip sheets were factored back into the freight rate.

Trip Sheet Format

A standard trip sheet format for trucks in India

Most transporters, from small fleet owners in Ludhiana and Indore to large carriers in Delhi NCR and Bhiwandi, track the same five blocks on a trip sheet. This is the format our generator follows.

For Truck Drivers

Why a trip sheet protects the driver too

Drivers often see the trip sheet as the office checking up on them. In practice it works the other way round. A driver on a Mumbai to Kolkata run often handles tens of thousands of rupees in cash and slips, and a clean trip sheet is the driver’s best defence when numbers are questioned.

Proof of every rupee spent

When each diesel slip and toll is written down the same day, nobody can later say the money was not spent on the trip.

Faster settlement on return

A filled trip sheet means the driver is settled in minutes at the office, instead of waiting days while accounts chase receipts.

No arguments over advances

The advance is recorded before the truck leaves, so the “I got only ₹12,000, not ₹15,000” dispute simply does not happen.

A record of hard routes

Extra tolls on a diversion or a long halt at a factory gate are noted with reasons, so the driver is not blamed for costs that could not be avoided.

Trip Sheet vs LR / Bilty

Trip sheet vs LR (bilty): what is the difference?

Both are filled for the same truck on the same day, so they are easy to mix up. The simplest way to remember: the LR is about the customer’s goods, the trip sheet is about your truck’s costs.

How to Create a Trip Sheet

How to create a trip sheet in 6 steps

You can do this on paper or with the free generator above. Either way, the order below keeps the sheet accurate and easy to settle.

  1. 1

Enter the trip date, vehicle number and driver

Start with the basics: the date the truck leaves, its registration number (for example HR 55 AB 1234), the driver’s name and mobile number.

  2. 2

    Fill in the route

Write where the trip starts and ends, such as Gurugram to Jaipur. For a multi-drop trip, mention the extra stops in the remarks.

  3. 3

    Record the opening odometer reading

Note the Start KM before the truck leaves the yard. Add the End KM when it returns and the total distance works itself out.

  4. 4

Enter the advance given to the driver

Write down the exact cash or UPI advance handed over for fuel, tolls and food, so the settlement has a clear starting point.

  5. 5

Add every expense on its own line

List diesel fill-ups, FASTag or cash tolls, loading and unloading labour, halting charges, police or RTO receipts and repairs as separate items with amounts.

  6. 6

Check the balance and download the PDF

The sheet totals the expenses and shows the balance the driver returns, or the amount owed to the driver if it is negative. Add remarks, download the A4 PDF, print it and get it signed.

When one sheet a day turns into fifty

A free generator is perfect for an owner-driver or a fleet of a few trucks. But once you are dispatching dozens of vehicles a week from Gurugram, Ahmedabad or Chennai, the real work is not making trip sheets. It is collecting them, checking them and turning them into numbers you can trust.

That is what trip sheet management software is for. FleetSetu’s Transport Management Software creates the trip when the truck is dispatched, records driver advances, fuel and tolls against it, and settles the balance when it closes, with nothing re-typed.

  • Trip, driver and vehicle linked automatically on dispatch
  • Driver advance ledger with running balance per driver
  • Fuel and expense entries with receipts attached
  • Live GPS tracking to verify the route and kilometres
  • LR, POD and freight billing connected to the same trip
  • Per-trip and per-truck profit reports
Digital Trip Sheet for Fleet Management

Paper trip sheet vs digital trip sheet

Fleet owners who switch to digital trip sheets rarely miss paper. Here is what changes in day-to-day fleet management.

Paper trip sheet
Sheets come back crumpled, or not at all
Digital:Every trip is saved against the vehicle and driver
Accounts re-type totals into Excel or Tally
Digital:Totals and balances calculate automatically
Fuel theft is spotted months later, if ever
Digital:Mileage per trip is compared with the vehicle’s usual average
No link between the trip and its LRs
Digital:Trip, LRs, POD and billing stay connected
Per-trip profit is a guess
Digital:Freight earned minus trip cost shows real profit per trip

Trip Sheet FAQs

Quick answers for fleet owners, transporters and drivers about trip sheet formats, settlements and digital trip sheets.

A trip sheet is the record of a single truck journey: the vehicle, driver, route, kilometres run, advance given and every expense paid on the way. At the end of the trip it shows how much money the driver has to return or claim. Transporters also call it a driver trip card, trip expense sheet or trip ka hisaab.
A good format has trip date, vehicle number, driver name and mobile, from and to locations, start and end odometer readings, total kilometres, the advance amount, an itemised list of expenses, total expenses, the balance to return and a remarks line.
No. Unlike the LR (bilty) or E-Way Bill, a trip sheet is not a statutory transport document. It is an internal record, but it is the main proof your accounts team has when settling driver advances and checking trip costs.
