Machine and vehicle logs, sites, crew salaries, billing and profit per machine, with Cat VisionLink and JCB LiveLink data. Used in Jabalpur, MP and Lagos, Nigeria.
Your Machines Are Spread Across Sites. Your Records Shouldnât Be.
If you run excavators, dozers, loaders and tippers on a mine or a construction project, you already know how the month usually goes. The site supervisor keeps a register. Operators send hour-meter photos on WhatsApp. Diesel slips pile up in a drawer. The office types everything into Excel, and at month-end someone spends three days trying to work out what to bill the client and what to pay the hired machine owner.
Nobody is doing a bad job. The problem is that machines, people and money are recorded in different places, by different people, at different times. FleetSetu brings them together. This article explains how, using the two solutions we built for this work: fleet and transport management for mining and fleet and equipment management for heavy equipment.
Cat, Hitachi and JCB Data on One Screen
Most Indian sites run a mixed fleet. Hitachi excavators dig the face, Cat haul trucks and dozers move the material, and JCB backhoes and loaders keep the haul roads and crushers going. Each brand comes with its own telematics portal, so supervisors end up with three logins and still no single picture.
FleetSetu has a tie-up with Cat VisionLink, Caterpillarâs equipment telematics platform. The engine hours, fuel burned, idle time, location and fault codes your Cat machines already send to VisionLink sync automatically into your FleetSetu dashboard. JCB machines connect through JCB LiveLink, and Hitachi excavators and loaders come in through engine-hour telematics. Your own tippers and dumpers sit on the same live map.
Equipment and Machine Logs That Settle Arguments
Most disputes on a site come down to one question: how many hours did this machine actually work? FleetSetu keeps a daily log for every machine, filled from telematics where available and from the operatorâs mobile entry where it isnât.
- Start and closing hour-meter readings, with working hours and idle hours
- Which site and which job the machine worked on that day, and who operated it
- Diesel issued to each machine, compared with the hours it worked
- Breakdowns and downtime, with the reason and the time it was back in service
- Service reminders based on real operating hours, such as 250-hour oil changes or 500-hour hydraulic filters
- Fault codes from Cat VisionLink and JCB LiveLink flagged to the workshop

Vehicle Logs for Tippers, Dumpers and Transit Mixers
Machines dig and load; vehicles carry. FleetSetu tracks both. For every tipper, dumper, transit mixer, water tanker or trailer, you get a trip-wise vehicle log that the driver and the office both trust.
- Trips from loading point to unloading point, with distance and time
- Load details, including weighbridge weight where the site has one
- Diesel filled, kilometres run and fuel per trip or per tonne
- Live GPS location and geofences around pits, crushers and dump yards
- RC, permit, insurance, fitness and PUC with expiry alerts, so vehicles are not stopped at the gate
Projects â Sites â Deployments: The Structure Behind Everything
Construction and mining work doesnât happen âin the companyâ. It happens on a project, at a site, with specific machines and people sent there for a period. FleetSetu is organised the same way, so every hour, litre and rupee lands in the right place.
| Level | What you set up | What you see |
|---|---|---|
| Project | A contract or work order, such as a highway package, a mine lease or a client order | Total revenue, cost and profit for the whole job |
| Site | Each physical location under the project: a pit, a crusher, a road stretch, a building site | Which machines, vehicles and people are there today, and what each site is costing you |
| Deployment | A machine, vehicle or crew member assigned to a site from one date to another | Who was where and when, so hours, diesel and salaries are charged to the right site |

Drivers, Operators and Helpers: Attendance, Salary and Advances
A site runs on people as much as machines. Drivers, machine operators and helpers often work across sites, take cash advances, and get paid a mix of monthly salary, daily wages and trip or hour-based allowances. Keeping that straight on paper is where a lot of money quietly leaks.
In FleetSetu, each person has a profile with their role, the site they are deployed to, and their pay terms. Attendance is marked daily at the site. Advances given in cash or by UPI are recorded against the person, and at month-end the salary is worked out with attendance, overtime and advances already taken into account.
- Separate roles for drivers, operators and helpers, each linked to the machine or vehicle they work on
- Daily site attendance, so you pay for days actually worked
- Advance ledger per person, recovered automatically from the next salary
- Licence and certification expiry tracking for drivers and operators
- Salary cost charged to the site and project the person worked on
Customer and Vendor Accounting, Billing and Invoicing
Your machine logs and vehicle logs already hold the numbers you bill from. FleetSetu turns them into invoices, so nobody re-types hours or trips at month-end.
| Side | What FleetSetu handles |
|---|---|
| Customers | Billing by hour, shift, day, month, trip, tonne or cubic metre; minimum-hour guarantees; GST invoices; payments received and outstanding balances per customer |
| Vendors | Hired machines and hired tippers paid on verified hours or trips; diesel pumps, workshops and spare-part suppliers; bills, payments and what you still owe |
| Ledgers | A running statement for every customer and vendor, so you can answer âhow much is pending?â in seconds |
Reports, Including Profit and Loss
The real payoff of having machines, people and money in one place is that you can finally see which parts of the business make money. FleetSetuâs reports go down to the level you need.
- Profit and loss per project, per site, per machine and per vehicle
- Machine utilisation: working hours vs available hours, and idle time by site
- Fuel reports: diesel per hour for machines, per kilometre or per tonne for vehicles
- Salary, attendance and advance reports for every driver, operator and helper
- Customer receivables and vendor payables, with ageing
- Maintenance and breakdown history per machine
From Jabalpur to Lagos: Where Our Customers Work
FleetSetu isnât built in theory. Many of our mining and construction customers in India are in Jabalpur and the areas around it in Madhya Pradesh. Itâs a busy belt: limestone, bauxite and cement around Katni, iron ore and manganese near Sihora, and a steady run of highway, rail and building projects across the Mahakoshal region. Excavators, dozers, tippers and transit mixers move between sites every week, and thatâs exactly the kind of work the platform was shaped around.
We also work with clients from Victoria Island, Lagos, Nigeria. Lagos has a lot of construction and quarry work, and Cat and JCB machines are a common sight on its sites. The problems turned out to be the same as in Madhya Pradesh: machine hours nobody fully trusts, diesel that doesnât add up, crews spread across several sites, and billing that takes too long at month-end.
Mining and Construction: Same Platform, Different Priorities
The building blocks are the same, but a mine and a construction project care about different things first.
| Mining | Construction and plant hire | |
|---|---|---|
| Main focus | Pit-to-port haulage, tonnes moved and cost per tonne | Machine hours, site deployments and rental billing |
| Key machines | Cat haul trucks and dozers, Hitachi excavators, JCB support loaders, dumpers | JCB backhoes, Cat and Hitachi excavators, cranes, transit mixers, tippers |
| Billing basis | Per tonne, per trip or per tonne-km | Per hour, shift, day or month, often with minimum hours |
| Start here | Mining fleet and transport management | Heavy equipment management or construction fleet management |
